Doppeldesk is a trade name (DBA) of Frequentor LLC, a Texas limited liability company. In this policy, "Doppeldesk," "we" and "us" mean Frequentor LLC doing business as Doppeldesk. This policy explains what information we collect through doppeldesk.com and the Doppeldesk service, how we use and share it, and the choices you have.
Who this policy covers
Doppeldesk is an AI phone and web-chat operator for businesses. It learns from a business's past calls or website, answers calls and chats for that business, and books into its schedule.
This policy covers three groups of people:
- Website visitors who browse doppeldesk.com or submit a form on it.
- Business customers and the people they authorize to use their account.
- Callers and chat visitors who reach a customer's phone line or website chat.
For website visitors and business customers, we decide how information is used. For callers and chat visitors, we act as a service provider (also called a processor) for the business they contacted, as explained in Calls and chats on a customer's line.
Information we collect
From website visitors
- What you submit in a form: your name, business name, email address, phone number, phone system, the plan you are interested in, and your message.
- Technical information our hosting provider records when a page loads, such as IP address, browser type and the pages requested.
From business customers
- Account, contact and sign-in details for you and your authorized users.
- Billing information. Card details are collected and stored by Stripe; we do not store full card numbers.
- The business information the operator relies on, such as hours, services, prices, policies, booking rules and transfer numbers.
- Material used to build your playbook: call recordings from RingCentral, CallRail or uploaded files, the content of your website, which we crawl, and your owner interview.
- Access tokens for systems you connect, and usage records such as lines and minutes used.
From callers and chat visitors on a customer's line
- Call audio, recordings, transcripts and web-chat messages.
- The caller's phone number.
- Details a caller gives the operator, such as name, email address, the reason for the call and booking details.
- Call records, such as time, duration and outcome.
Recordings a customer uploads also contain the voices of its staff and past callers; we treat them as caller information.
How we use information
- Website form submissions: to respond to your request, set up a test line, call you back, and follow up about the service. We only call the number you give us.
- Business customer information: to provide and support the service, build and update your playbook and operator, bill you, send account notices and the morning digest of calls, and keep the service secure.
- Caller and chat information: only to provide the service to the business the caller contacted: holding the conversation, booking through that business's tools, transferring the call or taking a callback, giving the business its transcripts and reports, and improving that business's own operator, for example by mining its recent calls to propose an updated playbook.
- Legal and safety: to comply with the law, enforce our Terms of Service, and prevent fraud and abuse.
We do not sell personal information or share it for targeted advertising. We do not use recordings or transcripts to train general-purpose AI models, and we do not create voiceprints or identify people by their voice. You can opt out of marketing email from us at any time.
Calls and chats on a customer's line
When you call or chat with a business that uses Doppeldesk, that business decides how your information is used, and we process it on the business's behalf. The business is responsible for its own privacy notice and for having a lawful basis to collect and use your information, so please read the notice of the business you contacted.
Whatever the business configures, the operator:
- Tells you that you are speaking with an automated (AI) assistant. On web chat, this is in the first message.
- On calls, speaks a recording-consent line before asking any question. The wording is chosen by the caller's area code. When the state cannot be determined, it uses the strictest wording, written for states that require every party's consent.
To access, correct or delete information from a call or chat, contact the business you called. If you contact us instead, we will pass your request to that business and help it respond.
The current service handles inbound calls and chats only. It does not place outbound calls or send text messages. Outbound calls will require consent recorded on an earlier call, and text messages will be sent only after carrier registration (A2P 10DLC). We will update this policy before either is offered.
Recordings, transcripts and industry packs
Recordings and transcripts are stored in a storage area dedicated to the customer's account and isolated from other customers. They are available to that customer's authorized users and to our personnel who need them to build, run or support that customer's operator.
Recordings and transcripts are never used to build shared industry packs. Packs hold aggregate patterns only, such as which objections come up and in what order, never information that identifies a caller, and we draw on a customer's account for a pack only with that customer's consent.
Service providers and other sharing
These service providers process information on our behalf to run Doppeldesk:
- Netlify: website hosting and form handling.
- Resend: transactional email, such as account notices and call digests.
- Supabase: database and file storage, including recordings and transcripts.
- ElevenLabs: the voice agent that runs the operator on calls and chats, speech recognition and transcription.
- Anthropic: AI models used to analyze calls, build playbooks and generate the operator's replies.
- Stripe: billing and payments.
- Telephone carriers that route calls to the operator's number.
The AI providers process call audio, transcripts and chat messages to provide the service, under their API terms. When a customer connects a system such as RingCentral, CallRail, Google Calendar or Cal.com, information moves between that system and Doppeldesk at the customer's direction, under the customer's own agreement with that provider.
We may also disclose information when the law requires it; to protect the rights, property or safety of Doppeldesk, our customers or others; with your consent; or to a successor if the Doppeldesk business is merged, sold or transferred to another entity, in which case this policy continues to apply unless you are told otherwise.
Cookies and local storage
doppeldesk.com does not currently use advertising cookies or analytics. The site stores one small preference in your browser's local storage to remember whether you dismissed an offer popup; you can clear it in your browser settings. The site loads its fonts from Google Fonts, so your browser sends Google a request, including your IP address, when a page loads. The customer dashboard uses cookies or browser storage only as needed to keep you signed in.
If we add analytics later, we will update this policy to describe them.
How long we keep information
- Website form submissions: as long as needed to respond and follow up, and no more than 24 months after our last contact, unless you become a customer.
- Customer account information: while the account is open.
- Recordings, transcripts and call records: while the account is open, unless the customer asks us to delete them sooner. After an account closes, the customer has 30 days to request an export, and we delete the data within the following 30 days.
- Billing and tax records: as long as the law requires, generally seven years.
Deleted data can remain in encrypted backups for up to 30 more days. Service providers may hold copies for the periods set by their terms and our settings with them. We may keep information longer when the law requires it or to resolve a dispute.
Security
Data is encrypted in transit, and our database and storage provider encrypts it at rest. Each customer's data is separated at the database level, and our personnel access it only when needed. No system is perfectly secure, and we cannot guarantee security. If we learn of an incident affecting personal information, we will notify affected customers without undue delay and give any notice the law requires.
Your choices and rights
Depending on where you live, you may have the right to know what personal information we hold about you, get a copy, correct it, delete it, and opt out of certain processing. We will not treat you differently for using these rights.
To make a request, email info@doppeldesk.com or call (346) 509-7776. We will verify your identity and respond within 45 days. You may use an authorized agent. If we decline your request, you may appeal by replying to our decision, and then contact your state attorney general if you disagree with the result.
Children
The website is not directed to children, and we do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
Where information is processed
Doppeldesk serves businesses in the United States. Information is stored and processed in the United States, and our service providers may process it in other countries.
Changes to this policy
When we update this policy, we will change the "Last updated" date above, and we will email customers about material changes before they take effect.
